Today, a few companies look upon business continuity as a fancy term! However, a compact business continuity plan (BCP) comprises the steps to restore crucial functions, either after or during a disaster or crisis.
According to Eric Dalius, organizations should provide ample attention to their BCP. It is essential to allocate the correct duties to the concerned professionals to ensure that the plan gets executed correctly. The copies of the program must get stored off-site. Some of the crucial components of a business continuity plan are:
1. Potential threat analysis
An organization's response to a crisis or disaster is dependent on the degree and nature of the problem. For instance, climatic threats like floods or tornados adversely affect the entire IT infrastructure. On the other hand, the pandemic outbreak can adversely impact human resources and not affect the office machinery and IT tools. If there is a cyber-attack or data threat, it can affect the network and not affect the personnel or hardware functionality. It is essential for the plan to cover as many contingencies as possible.
2. The key responsibility areas
One of the main aspects of crisis management is what you need to deal with during and after the incident. It is necessary to have responsibility areas and establishing a command chain. During this time, the department heads shouldn’t stay confused about decision making. A few disasters might lead to a personnel loss. Hence, Eric J Dalius suggests that it is necessary to allot alternate options when the crucial players aren't available. Companies should also train the required personnel about disaster alertness and preparedness, recovery, and incident management.
3. Emergency contact data
A smart BCP needs to have updated contact data about entities and people others can contact during and after a disaster. Employees shouldn’t waste time searching for essential data for their internal and external personnel and service providers.
4. Create recovery teams
Crisis gets managed with teamwork, and you need to create this team in advance! The BCP plan needs to allot members for a DRT (Disaster recovery team) that will comprise specialists equipped with the know-how and training to manage multiple facets of any common disaster. The recovery team members should work in co-operation with the emergency services at the time of crisis and must have the devices they need to manage the situation. The recovery team is accountable for bringing back the operations to normalcy.
5. Alternate operations site
The BCP needs to highlight the need to create alternative operation sites. It is helpful when a disaster destroys the corporate business house building. EJ Dalius says that it is a best practice to have an empty facility that is less expensive and can get used as an alternate branch office until the original site gets restored to action. The plan should add in the necessary costs of setting up the alternate facility, moving, and the operations.
Business leaders and entrepreneurs should always ensure that their venture should carry on despite an untoward crisis. A BCP should get created, considering the company's strengths and weaknesses. It will help to avoid losses and also continue operations despite all odds.
